TruckMind Privacy Policy

This policy explains what information TruckMind collects, why we collect it, who we share
it with, and how you can access or delete it. It covers the TruckMind website, the TruckMind web
platform, and the Truck Mind mobile app for Android and iOS (Android package
com.truckmind.app), published by Wrab Tech Inc.
Throughout this policy, "we" and "us" mean Wrab Tech Inc., and "your carrier" means the trucking company, broker, or fleet that operates the TruckMind account you use.
1. Information we collect
Account and contact information
Your name, email address, phone number, job role, and company. We collect this when your carrier creates your account, when you register or apply through the app, or when you contact us or request a demo through our website.
Location information — including in the background
The Truck Mind driver app collects your device's precise location (GPS). See section 2 for the full detail on background collection, which is the most sensitive data we handle.
Driver qualification and employment information
Where you complete a driver application or driver qualification (DQ) file, we collect the information required by the U.S. Federal Motor Carrier Safety Regulations, which may include your date of birth, Social Security number, driver's licence (CDL) details, employment history, motor vehicle record (MVR), medical examiner's certificate, and drug and alcohol testing records. This information is collected only with your explicit, separate consent inside the application flow.
Photos, documents, and scans
Photos you capture or select, and documents you scan or upload — for example bills of lading, proof of delivery, fuel and maintenance receipts, accident or incident photos, and licence or medical certificates. The app requests camera access for this. Choosing an existing photo uses your device's system picker, which shares only the specific file you select.
Device and technical information
Device model, operating system version, app version, language, a randomly generated installation identifier, and a Firebase Cloud Messaging (FCM) token used to deliver push notifications to your device.
Diagnostics and crash information
Crash reports and performance diagnostics via Firebase Crashlytics and Firebase Performance Monitoring, so we can find and fix failures. We do not run Firebase Analytics; analytics collection is disabled in the app.
Operational records
The business data you or your carrier enter into the platform: loads, stops, carriers, clients, equipment, invoices, expenses, payroll entries, messages, and related documents.
2. Background location — what we collect and why
The Truck Mind driver app collects precise location data in the background — while the app is closed or not in use. This happens only while a load or trip you have started is active. It is used so your dispatcher can follow live load progress, estimated arrival times, automatic arrival and departure at stops, and proof of service for the loads assigned to you.
Specifically:
- When it starts. Only after you accept an in-app disclosure and grant location permission, and only when you start tracking for a load. Nothing is collected before that.
- What it collects. Latitude and longitude, GPS accuracy, speed, heading, and the time of each reading.
- While it runs. On Android the app shows a persistent notification for as long as background tracking is active, so it is never running invisibly.
- When it stops. When you stop tracking from the Home screen, when the load reaches a completed or cancelled state, or when you revoke location permission in your device settings. Declining the disclosure or the permission means no location is collected at all — the rest of the app continues to work.
- Who sees it. Only your carrier and the people it authorises within its own TruckMind account, plus anyone your carrier deliberately sends a tracking link to for a specific load (typically the broker or customer for that shipment).
We do not collect location when no trip is active, and we never sell location data or use it for advertising or ad targeting.
3. How we use information

4. How we share information
We do not sell your personal information, and we do not share it with data brokers or for advertising or tracking purposes. We disclose information only:
- To your carrier. The company whose TruckMind account you work under can see the data you generate in that account — this is the core purpose of the product.
- At your carrier's direction. For example, when it shares a load tracking link with a broker or customer, or generates a carrier packet.
- To service providers who operate the platform on our behalf under contract — cloud hosting, email and SMS delivery, mapping and geocoding, and Google Firebase for push notifications and crash reporting.
- When the law requires it, or to protect the rights, safety, or property of our users or the public, including in response to lawful requests from public authorities.
- In a business transfer, such as a merger or acquisition, subject to this policy continuing to apply to the transferred data.
5. Data retention
We keep account and operational records for as long as the account is active. Some records — notably driver qualification files, drug and alcohol testing records, and hours-of-service related data — must be retained for periods fixed by federal regulation even after an account closes, and we retain those for the required period. Location traces are retained for the operating history of the associated load. When a retention period ends, data is deleted or irreversibly anonymised.
6. Security
All traffic between your device and TruckMind is encrypted in transit using TLS. Data at rest, including documents and driver files, is encrypted. Access is limited by role-based permissions and recorded in audit logs. No system is perfectly secure, but we work to protect your data and to notify affected users and regulators promptly if a breach occurs.
7. Your choices and rights
- Location. You can stop tracking from the Home screen at any time, and you can revoke location permission at any time in your device settings (Android: Settings → Apps → Truck Mind → Permissions → Location; iOS: Settings → Truck Mind → Location).
- Camera and photos. Grant or revoke in the same device settings screen.
- Push notifications. Turn off in device settings, or in the app under Settings → Notifications.
- Access and correction. Request a copy or correction of your personal data by emailing privacy@truckmind.com.
8. Deleting your account and data
You can request deletion in two ways:
- In the app. Open the Truck Mind app and go to Settings → Account → Delete my account. This submits a deletion request for your account and the personal data associated with it.
- By email. Write to privacy@truckmind.com from the address on your account, with the subject "Account deletion request". You do not need the app installed to use this route.
On deletion we remove your login, profile, contact details, device identifiers, push tokens, and location history. Records your carrier is legally required to retain (driver qualification files, drug and alcohol testing records, and financial records needed for tax and audit purposes) are retained for the period the law requires and then deleted. We respond to deletion requests within 30 days.
9. Children
TruckMind is a commercial fleet-operations product intended for professional use by adults. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If you believe a minor has provided us information, contact us and we will delete it.
10. International users
TruckMind is operated from the United States and data is processed and stored there. If you use the service from outside the United States, you consent to that transfer and processing.
11. Changes to this policy
We may update this policy. When we make a material change we will update the effective date above and, where the change affects how we handle data you have already provided, notify you in the app or by email before it takes effect.
